Welcome to Forever Us Events, creating beautifully styled, bespoke weddings across Brisbane, the Gold Coast and Byron Bay. We bring your unique vision to life with thoughtful event styling and meticulous attention to detail, so you can enjoy a truly memorable celebration.

Wedding planning, coordination, styling, flowers and hire
These terms apply to the wedding services and items listed in your accepted quotation and booking form. Please read them before confirming your booking. Only the services, quantities, staff hours and items expressly included in your quotation will be supplied.
“We”, “us” and “our” mean the legal supplier named in your quotation, trading as Forever Us Events. “You” and “your” mean the client or clients named in the booking form. Our agreement comprises the accepted quotation, booking form, these terms and any written changes agreed by both parties. Specifically negotiated written terms prevail over inconsistent standard terms.
The quotation must identify our legal business name, ABN and contact details. We accept electronic documents and email approvals. Your booking is secured when we confirm it in writing and receive the required booking payment after you have received these terms.
A 25% booking payment applies to wedding planning, styling and arranged floral services unless your quotation states otherwise. A 40% booking payment applies to stand-alone Unique DIY Hire and DIY floral supply. For combined packages, the quotation will show which payment applies to each component; the same item will not attract duplicate booking payments.
Booking payments are credited towards the total price. If the booking ends, any amount retained will be calculated under clauses 10 to 13 rather than automatically forfeited.
Unless otherwise agreed, styling and floral balances are due two months before the wedding. Remaining planning and other service balances are due one month before the wedding. Custom orders and approved supplier deposits may be payable earlier, at confirmation, as disclosed in the quotation. Earlier payments will be credited against the relevant balance.
Planning balances may be paid in four instalments or monthly payments under an agreed written schedule. Short-notice bookings will have payment dates set out in the quotation. Please use your invoice number as the payment reference. Prices are in Australian dollars; the quotation will show the total including GST and any additional charges before acceptance.
Final guest numbers, floral quantities, venue information, styling selections and run sheet details are due one month before the wedding unless another date is agreed. Any adjustment invoice will state its due date. Later additions are subject to availability and approval of additional cost.
Reductions may not reduce fixed service fees or reasonable costs already committed, but we will account for recoverable savings. Custom goods cannot necessarily be cancelled or repurposed once ordered. Any retained charge must reflect work completed or reasonable, evidenced and legally recoverable costs. Please check all items, including candles, flowers and consumables, are listed.
Planning coordination and additional costs
We provide the planning, advice, supplier liaison and coordination described in your package. We will help you consider options and manage agreed arrangements, but you retain approval of your budget, supplier selection and additional spending. We will not commit you to unapproved costs.
Your quotation will identify suppliers engaged by us and those engaged directly by you. We remain responsible for services we contract to provide, including subcontracted work. Direct suppliers remain responsible under their own contracts; we are responsible to the extent our own breach or negligence contributes to a problem. We cannot guarantee a supplier’s continued trading or the lowest market price.
Your booking form must state the venues, number of coordinators, attendance hours and included tasks. Unless a different finish is expressly agreed, on-the-day coordination concludes when the couple enters the reception; full wedding planning attendance concludes at the start of speeches. These package finish points do not imply attendance until guest departure.
If you require later coverage, ceremony-to-reception transfers, room resets or pack-down coordination, these must be included in the quotation. We will act as your lead wedding coordinator and work alongside the venue and specialist suppliers. Additional professional planners must be disclosed and responsibilities agreed to avoid conflicting instructions.
Unless otherwise quoted, approved additional coordinator attendance is $60 per hour per planner. Standard setup labour is $35 per hour per staff member. An additional return visit to reset or move items is charged at $35 per hour per staff member, with a three-hour minimum per staff member for that visit. These are client billing rates; the quotation will show GST and included labour. No time will be charged twice.
A $150 surcharge may apply to a standard booking requiring Sunday, public-holiday or midnight pack-down work. Any higher charge for a larger booking must be quoted and approved. Setup and pack-down each assume one continuous shift unless agreed otherwise. We will disclose access-related changes when known and obtain approval before incurring additional charges. If a change cannot be agreed, we will discuss a practical alternative.
Unless the quotation states otherwise, the first 100 kilometres of total return travel between our business base and the wedding venue are included. Any excess kilometre rate, tolls, parking or additional trips must be disclosed and approved before booking or variation.
Travel for agreed planning meetings within 30 kilometres of driving per day is included. Additional meeting travel requires an agreed charge. If a venue is more than one hour from our base, accommodation for the planner and any agreed assistant may be required only where specified and approved in the quotation. Staff meals, breaks and any relief staffing must also be agreed.
Please provide accurate details, timely approvals and a nominated event-day contact. Arrange the agreed venue access, loading facilities, power and any permissions allocated to you. We will provide installation requirements and comply with the responsibilities applying to our own work. Venue and supplier operational duties, including catering, liquor service, security and emergency management, remain with the relevant providers. We will maintain public liability insurance appropriate to our services and provide evidence on request.
Cancellations postponements and service concerns
Please notify us in writing if you wish to cancel. This request does not restrict any statutory right to cancel by another permitted method. Unless your statutory rights provide otherwise, cancellation charges comprise services reasonably performed, reasonable and evidenced non-recoverable commitments for your booking, and any other reasonable, evidenced and legally recoverable cancellation loss.
We will take reasonable steps to minimise loss, seek supplier refunds or credits, and account for costs saved or items repurposed. Payments already made are credited against the calculation. We will provide an itemised reconciliation and refund any surplus within 14 days after the amount is agreed or determined. Any later related supplier recovery will be passed on promptly. There is no automatic forfeiture of all payments within four weeks of the wedding.
The same cancellation principles apply to flowers and custom goods. Charges may be substantial close to the wedding, particularly after fresh flowers are purchased or custom pieces manufactured, but must reflect reasonable work, commitments and legally recoverable loss.
Cancellation within 14 days does not automatically make the full floral invoice payable. Nor does a cancellation within 30 days automatically replace a refund with a credit. A future-event or transferable credit may be agreed, but will not replace a refund required by law. We will explain the calculation and any supplier restrictions before retaining amounts.
We will make reasonable efforts to accommodate a new date, subject to availability and agreement on revised costs and supplier commitments. Unused payments will transfer to the new booking after accounting for properly incurred work and unrecoverable costs. We will explain these amounts before you decide. If no suitable alternative is agreed, cancellation will be assessed under clauses 10 and 11.
If severe weather, venue closure, government restrictions or another event outside reasonable control prevents performance, the affected party must notify the other promptly and minimise the impact. We will first consider an alternative arrangement or date. If the affected services cannot proceed, either party may end them, with a refund for undelivered services less properly incurred work and reasonable, evidenced and legally recoverable unrecoverable costs. Statutory rights remain unaffected; neither party must accept an indefinite credit.
Tell us promptly about concerns so we can investigate and seek a practical solution, including a replacement planner or agreed change where appropriate. Either party may give notice of a material breach and a reasonable opportunity to remedy it where possible, taking the wedding date into account. This does not restrict rights to immediate remedies under applicable law.
If we cannot provide an agreed service for a reason within our control, we will offer an appropriate alternative for your approval. If no acceptable solution is agreed, you may end the affected services and receive a refund for them without limiting other legal rights. We do not impose client-cancellation charges for our own failure. Nothing excludes Australian Consumer Law guarantees or remedies. Each party remains responsible for loss caused by its own breach, negligence or unlawful conduct.
Hire delivery bonds and product care
Your booking form will state the agreed collection and return dates, warehouse address and appointment times. Standard collection appointments are Thursday or Friday between 9 am and 11 am, with returns generally Monday between 9 am and 11 am. Other appointments, including Wednesday returns, require express agreement. Please confirm your appointment at least two weeks beforehand. The warehouse is not open for unscheduled visits.
The agreed hire period will not be shortened unilaterally during peak times. Bring an appropriate vehicle, protective materials and enough capable assistance for the items hired. Do not assume warehouse staff can lift or load heavy goods. Delivery or collection by us must be quoted. Courier transport requires prior approval and is not available for fragile glass, crystal or candelabras. Item-specific loading and securing instructions must be followed.
Please inspect goods at collection or delivery and notify us promptly of missing items or visible damage. We will record handover condition where practicable. If you identify a problem before the wedding, contact us by phone, text or email so we can assess replacement or another remedy. A failure to report before the event does not remove your statutory rights.
Hire goods remain the owner’s property. Do not move, alter or dismantle installed items without approval. Use products only for their agreed purpose and follow our instructions. DIY goods must be returned appropriately cleaned, dry, wax-free and repacked in their original packaging, except where a quoted cleaning service expressly covers those tasks.
The quotation will identify whether a standard cleaning service applies. Where it does, the standard cleaning fee is 10% of the relevant cleanable-goods hire charge, disclosed before acceptance. It is charged once, with the covered cleaning tasks explained.
Where standard cleaning is not included, return items in the agreed condition. Additional cleaning for staining, wax, residue or other contamination outside the included service may be charged only at a disclosed rate or reasonable evidenced cost. There is no duplicate charge for cleaning already paid for. Damage requiring repair or replacement is assessed separately under clause 17.
Unless otherwise quoted, a $200 security bond applies per hire booking, taken as a card pre-authorisation where available. We will arrange release of any undisputed balance within five business days after return and inspection; your bank may take additional time. If a deduction is proposed, we will promptly provide the item, evidence, calculation and opportunity to respond.
You are responsible for reasonable repair, cleaning or replacement costs to the extent loss or damage is caused by your breach, negligence or misuse, or guests or providers under your direction or control. Fair wear, existing faults and loss caused by us or our suppliers are excluded. We will consider age, condition and repairability. Amounts exceeding the bond will be invoiced with supporting evidence; they are not automatically charged to your card without a separate valid authority. Payment and identity handling is addressed in clause 24.
Flowers installation and specific hire items
Flowers and foliage are natural products and may vary in colour, size, form and availability. We will work to the agreed palette, style and value. If a variety is unavailable, we will discuss a suitable substitute; a material change in the design or value requires your approval and any price adjustment. Natural variation does not excuse poor quality or a failure to meet agreed specifications.
DIY floral supply normally requires at least 14 days’ notice and a 40% booking payment. Shorter-notice orders are accepted only by agreement, with any availability limitations explained. We will provide appropriate handling and storage guidance. You are responsible for deterioration caused by unsuitable storage or handling after handover, but remain entitled to remedies for faults present at supply or caused by our failure. Fresh arrangements should be protected from heat, direct sunlight and dehydration.
We will check installed styling with the venue or your nominated representative where practicable. Handover records condition; it does not transfer responsibility for our own faults or remove consumer rights. Let us know of problems promptly, including after the wedding where they were not reasonably apparent earlier.
Outdoor arrangements require an agreed weather alternative and decision time. We may pause or adjust unsafe work or withhold an item from an unsafe location, explaining the issue and seeking a practical solution. Any additional cost requires approval. Draping, lighting and overhead pieces require venue approval and appropriate rated supports; keep exits, fire systems, access and performance areas clear. Ordinary pipe-and-drape equipment must not be assumed suitable for overhead loads.
White carpet: only white or baby-pink fresh rose petals, or approved light-coloured artificial petals, may be used. If wet, allow it to dry and gently remove loose debris before rolling. The stated reference replacement price is $320 plus GST, subject to the damage assessment in clause 17.
Cylinder vases: use only candles supplied or specifically approved by us; candle purchases must be itemised. Open flames require venue permission and appropriate supervision.
Lycra chair covers: indoor use only. The stated reference replacement price is $6 per cover, with GST treatment confirmed in the quotation. Damage charges are subject to clause 17.
Candelabras: return DIY-hired items free of wax unless removal is included in your cleaning service. Use only an approved cleaning method; avoid scraping, abrasives or damage to finishes.
Cutlery must be returned free of food residue unless washing is included. Handwash or dishwasher-clean only where suitable for the item; avoid harsh chemicals and follow supplied care instructions.
Festoon lights must be installed to the specific manufacturer’s instructions using appropriate support equipment. Confirm section lengths, maximum connected load, fixing intervals and power requirements for the actual equipment before use. Do not rely on a general 50-metre or four-to-five-metre rule for every product. Electrical connections and outdoor suitability must be checked by the appropriate supplier.
Relevant third-party hire terms must be supplied before you approve the hire. We will not accept additional liabilities on your behalf without express authority. Responsibility for sub-hired goods is allocated according to the supplier arrangement and the damage principles above; our own obligations remain unchanged.
Privacy photographs and booking acceptance
We collect information reasonably needed to quote, plan, supply and administer your wedding services. This may include your names and contact details, venues, event preferences, billing information, nominated contacts and relevant guest requirements. Only provide other people’s information where you are authorised to do so. We will seek consent where required for sensitive information, such as health-related dietary or accessibility details.
We may share necessary booking information with venues, suppliers, payment providers, professional advisers and others authorised by you or required by law. We do not sell personal information or provide it to unrelated partners for their own marketing without permission. We will take reasonable steps to protect information, restrict access and retain it only as needed for the booking, legitimate business requirements and applicable law.
We will obtain your separate written permission before using identifiable wedding photographs, names, tags or testimonials in our marketing, website, social media or publications. Your booking does not automatically authorise public use. Photographer rights and any permissions required from other identifiable people must also be respected.
You may specify restrictions or decline marketing permission without affecting your services. You can withdraw permission for future use by contacting us; we will discuss practical removal from channels we control, while recognising printed or already distributed material may not be recoverable. Promotional messages will be sent only where permitted, with a way to unsubscribe.
Do not email photographs of payment cards or identity documents. We will use an appropriate payment process and will not routinely request or retain copies of your full card or driver licence. If identity verification is reasonably required for hire, we will explain the purpose and use the minimum necessary information, preferably sighting rather than copying the document.
For booking, privacy, access or correction enquiries, contact info@foreverus.com.au. We will verify identity proportionately, respond within a reasonable period and handle complaints under applicable law. Website information practices are addressed in our applicable website privacy and cookie notices. Those notices must describe the information collected, purposes, relevant service providers and any overseas disclosures. Later policy changes do not retrospectively change this Agreement.
Please raise concerns promptly with our nominated contact so we can try to resolve them in good faith. The parties may agree to mediation, without restricting urgent action or access to a regulator, tribunal or court. Queensland law governs this Agreement, subject to mandatory applicable law. If a term is invalid, it may be severed where the remaining Agreement can operate fairly. Changes to an accepted booking require both parties’ agreement.
Before confirming your booking, please check the itemised quotation, package coverage, service hours, payment dates, hire period, travel and additional rates, and relevant supplier conditions. You accept the Agreement by signing or electronically accepting the booking form, or by making the required booking payment after receiving these terms.
